Your details, looked after carefully

All About Dogs Renfrew is a small, local dog walking business run by Graeme. We only ever ask for the information needed to care for your dog properly, we keep it secure, and we never sell it. This policy explains exactly what that means in practice.

Who we are

All About Dogs Renfrew (“we”, “us”) provides secure field dog walking across Renfrew, Erskine and Inchinnan. We are the data controller for the personal information described in this policy.

You can reach us any time on 07944 307282 or by WhatsApp, and we will always answer questions about your information personally.

What information we collect

Depending on how you get in touch, we may collect:

  • Your name and the name of your dog.
  • Your phone number and email address.
  • Your area (Renfrew, Erskine or Inchinnan) and, once you become a client, your address and access details.
  • Your dog's breed, age, temperament notes, vaccination and parasite treatment status.
  • Your preferred walk days and times, plus anything you tell us in your message.
  • Your vet's details and emergency contact information for clients.
  • Basic technical information when you visit the website (see our Cookie Policy).

We do not knowingly collect information from anyone under 18.

How the enquiry form works

When you submit the “Check Availability” form, the details you enter are saved securely in our website database and emailed to Graeme so he can reply to you.

The form is used solely to answer your enquiry and arrange a free meet & greet. It is never used to add you to a marketing list.

Our website and database are hosted by Lovable and Supabase, who process this data on our behalf under contract, with servers in the UK/EU. Email delivery is handled by our email provider on the same basis.

Why we use it, and our lawful basis

  • To reply to your enquiry and arrange a meet & greet — legitimate interests, or steps towards entering a contract.
  • To provide walks, collections and returns, and to keep records of them — performance of our contract with you.
  • To keep your dog safe, including seeking emergency veterinary treatment — legitimate interests and your explicit authorisation in our Terms & Conditions.
  • To take payment and keep accounting records — contract and legal obligation.
  • To send photos, videos and updates about your own dog — performance of our contract with you.
  • To share walk photos and videos publicly on Facebook, Instagram and this website — legitimate interests; you can opt out at any time in writing and we will stop.

How your information is stored

Enquiries and client records are held in a secure, access-controlled cloud database. Administrative areas of the website require an individual login, and only Graeme has access.

Keys and access codes are stored securely and separately from your name and address, and are used only to collect and return your dog.

Messages, photos and videos on WhatsApp, Facebook and Instagram are protected by those platforms’ own security and privacy terms.

Who we share it with

We never sell or rent your information. We share it only:

  • With a veterinary practice, if emergency treatment is needed for your dog.
  • With our hosting, database and email providers, who process data strictly on our instructions.
  • With our insurer or accountant where necessary to run the business.
  • Where we are legally required to do so.

Cookies and the website

We keep website tracking to a minimum. Full details of the cookies used, and how to manage them, are in our Cookie Policy.

Marketing communications

We do not run marketing email campaigns. If we ever wanted to send occasional news or offers, we would ask for your clear consent first, and every message would include a one-click way to stop.

Messages about your own dog’s walks — updates, photos, videos, availability and invoices — are part of the service, not marketing.

How long we keep it

  • Enquiries that do not become bookings: up to 12 months, then deleted.
  • Client records: for as long as we walk your dog, then up to 24 months in case you return.
  • Keys and access codes: returned or destroyed when the service ends.
  • Payment and accounting records: 6 years, as required by UK tax rules.
  • Photos and videos: kept while relevant, and removed from our own channels on request.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the information we hold about you.
  • Have inaccurate information corrected.
  • Ask us to delete your information where we no longer need it.
  • Ask us to restrict how we use it.
  • Object to use based on our legitimate interests, including photos of your dog.
  • Ask for your information in a portable format.
  • Withdraw any consent you have given, at any time.

Just ask — call or text 07944 307282, or message us on WhatsApp, Facebook or Instagram. We’ll respond within one month, and there is never a charge.

Complaints

If you are ever unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
